Executive Support: Responsible for performing strategic administrative support tasks for upper executive level employees of the organisation. Ability to adapt to changing schedules with a focus on efficiency and meet deadlines without compromising quality. Strong eye for detail with interpersonal skills. Ensure all invoices processing/credit card statements are processed in an efficient and timely manner. Follow up on critical deliverables with Operations teams to ensure timely and effective closure on key issues.

a. Calendar/Meetings & Communication: Coordinate meetings, manage calendars, make appointments, arrange scheduled, prepare agenda and other general assistance as required for Management. Draft, review and send communications on behalf of company executive(s)

b. Data Management: Work may include, but are not limited to, key record maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointment(s). Perform confidential and complex administrative duties involving excel, word and PowerPoint. Well versed with MS Office such as Excel and PowerPoint.

c. Stakeholder Management: Build a positive team environment and establish working relationships inside and outside the team/group. Engage with the EAs across Businesses in partnership to support each other smoothly.

d. External Support: Spearhead / Organise offsites, external conference/ events including catering and transportation / travel.

  • Executive assistants with Bachelors’ or Masters’ degree with prior experience (4-7 years) in similar role for a Senior Executive.

  • Experience in supporting at the COO Office

  • Well – versed in calendar Management

  • Adaptable team player with good problem-solving ability

  • Strong work experience in Microsoft Suite (Excel, PowerPoint)

  • Excellent verbal and written communication in English
